- Design, the electronic templates of the documents to be processed are generated at the design segment. First of all, these electronic templates allow the type of the document to be specified and the fields to be read for that specific document type to be designated.
The types of and the rules regarding to all the data fields on the templates are also defined here. The checking of the automatically read fields is also made with the use of this template. In order to automatically determine the document type and decrease the percentage of mistakes, more than one method is used simultaneously. The locations of the signs to be used as references and the information regarding which reading algorithm will be used how often are defined to the system at this segment.
- Scanning/Import ,is the segment where the documents and forms to be taken through the reading process are taken into the system. We can take all the documents in bulk form right as they are scanned. The electronic and physically non-existent documents such as XLS, XML, e-mail and faxes are also taken though this segment to have several of their fields read. The processes of improving the condition of documents such as straightening the angles, cleaning the dirt, making text bolder, removing borders, etc. are carried out here. The determination of photo and signature fields on documents and the cropping of these fields are also carried out in this segment.
- Validation,The validation of whether the reading process was carried out successfully according to the rules of the data fields defined at the electronic document template generated at the design segment is carried out at this segment. A notice is sent to warn for the re-entry of the fields that do not conform to the rules of the template or that were not read. Also, the validations of related list-type fields are carried out here too. For example, when the province is selected as Istanbul but the readings of the district-fiend show a value that is not included within the predefined group of the districts of the province of Istanbul, the system warns the operator. As an example for the field validation by submitting inquiries to external systems, we could give the case of the validation of whether the name and last name information has been read correctly by automatically inquiring this data from the citizenship bureau by sending the data of the citizenship number. Every kind of action that the users have taken is kept in the history log in details. The information regarding who has edited which information at what date and time is always present in the system.
- Reading,is the segment where the predefined fields on the document are read in accordance with the rules defined at the design segment. The reading process is carried out by the OCR, ICR, OMR and Barcode engines within FormMagic. In order to read a field, all of these engines could be employed and by having each of them generates results in different percentages, the most correct reading result is chosen.
- Determining document/form type, with the smart image processing and text recognition algorithms, the document type is chosen through the determination of the locations of the indicators such as logos, barcodes, texts and illustrations. Batch scanned documents are automatically classified.
- Export,With the advanced export module that it employs, FormMagic is able to export all available kinds of data to external systems. If desired, the processed forms and documents along with the related data being read can be exported to all kinds of applications such as accountancy, ERP, CRM, etc. The data regarding all the export commands carried out before are archived. This way, the export data from a prior date can be accessed easily whenever needed and re-exporting can be done.
