Aydem, the company aimed to provide excellence in terms of quality of service, decided to use Paperwork DMS in order to manage and archive documents. In the first phase of the project AYDEM Electricity Distribution, Paperwork will be implemented in Denizli, Mugla, Aydin provincial offices and Customer Service Departments located in districts for all transactions of current and potential customers.
All customer initiated demand oriented processes including; Incoming Document, Energy Power Cut Demand, Energy Permission Requests, Debt Inquiry, Fraud, Partial Payments, Fraud Advocacy, Duplicate Payments, Circuit Renovation, Counter Change and Control, Free Consumer Certificate, Contract Cancellation, Single Line Diagram Demand, Incorrect Installation Payments will be managed on the Paperwork Flow module with predefined standards. Besides the advantage of seeing documents and information created during these processes from all county offices and districts, Paperwork DMS will provide great convenience to users in terms of features such as reporting, high-level security, quick access and LDAP integration.
After the second phase of the project, processes and documentation in Quality Management department will also be managed in PaperWork DMS.

By our physical archive service bureau service, the archive was organized and it is provided to access the created document till then very fast. The filing equipment here; are classified and numbered according to department, equipment type, subject and date., An index area defining the equipment is created in PaperWork Document Management and Filing System for each equipment. After making the necessary inquiries on PaperWork by the index areas, it is provided to access in a very short time the physical place of the document. The archive regulation, which determines how to use the documents existing and will be added to the archive, is prepared according the SOX 404 rules.
Primarily, the documents and contracts of the juridical department are scanned and transferred into the digital environment by our specialist data entry operators by PaperWork and provided to the usage of the employees. As a result of the analyzing works of the juridical department, which a huge sum of documents, case files, contracts, licenses e.g. are transferred on the PaperWork Document Management and Filing System according to defined criteria and authorizations. By the transfer of the authorization levels inside the company to PaperWork, the users can access the documents in accordance to their authorizations. By the feature of PaperWork to work through Microsoft Office software, documents, which are created here, can be added to the PaperWork Document Management System. Incoming documents from outside the organization are scanned with Canon DR scanners and transferred to PaperWork according to the resulting criteria of the analyses made by GG Soft personnel. Changes made to all documents added to PaperWork are prosecuted according to the version. By this, all changes to documents like contracts, case files, offer and similar documents, which are prepared in group work, can be prosecuted.
Our PaperWork OCR Server processes the scanned documents and creates text data. So, a full text search can also be made on scanned documents in image formats. Shell employees can easily access their desired documents by performing word based searches among all of the electronic and scanned documents by using the developed search engine of PaperWork.
With form processing (ICR-Intelligent Character Recognition) in handwriting filled Shell SmartCard application forms are also passed through the ICR process via our PaperWork FormMagic ICR software and transferred into the digital environment. So, SmartCard forms can be accessed very fast and the security of signed physical documents is increased once more.
