Why Do Companies Think Digital Transformation Means Only ERP?

Why do companies think digital transformation means only ERP?

Digital Transformation Starts with ERP but Is Completed with BPM

Today, in almost every industry, when "digital transformation" comes up, the first solution that comes to managers' minds is usually ERP (Enterprise Resource Planning) systems. That is because ERP is marketed with the claim that it offers ready-made modules for many departments, from accounting to human resources and from procurement to production.

In practice, however, this approach can digitize only part of organizational efficiency. Companies that have invested in ERP systems for years realize, at some point, that even though their processes are "digital", people still track work with manual tools like email, Excel and WhatsApp.

This shows that ERP systems are necessary for digital transformation, but not sufficient.

Why Does an ERP System Fall Short?

The main reasons companies turn to an ERP system usually come down to these:

  • Keeping corporate data in a central system
  • Making financial processes reportable
  • Traceability in the supply chain, production and human resources

Some of these goals are achieved with ERP. However, ERP systems are "data- and transaction-oriented", not process-oriented. In other words, steps within workflows such as approval mechanisms, document circulation and task assignments either cannot be defined at all or can only be implemented with very limited flexibility.

As a result, ERP projects usually run into these problems:

  • ❌ Cross-departmental processes cannot be managed
For example, the contract approval process between the human resources department and the legal unit cannot be defined in the ERP.
  • ❌ Customizations take years and are costly
When the company's unique processes are embedded into the ERP, costs multiply.
  • ❌ Employees look for ways around the ERP
When the ERP is slow and cumbersome, teams develop manual workarounds via email, Excel and even WhatsApp.

As a result, despite major investments in ERP, true digitalization is not achieved.

BPM: The True Owner of Processes

Digital transformation is possible not just by digitizing systems but by completely rethinking the way work is done. This is where BPM (Business Process Management) comes in.

BPM platforms fill the gaps ERP leaves and digitize processes in the following ways:

End-to-end process modeling: All processes, from purchase request to purchase order and from hiring to performance review, can be modeled as a logical flow.

Visual workflow design: Workflows can be created and changed quickly with drag-and-drop interfaces, without writing code.

Document management integration: Contracts, forms and approval documents are managed embedded in the process.

Two-way integration with ERP: The BPM system can read data from the ERP and send data to it. In other words, the ERP becomes the data source and BPM becomes the process engine.

Reporting and measurement: Bottlenecks, delays, approval times and performance metrics in processes are measured in detail.

ERP + BPM: A Strategic Alliance

A BPM application complements ERP; it is not an alternative to it. ERP is a company's core data backbone. BPM is the muscle system that processes this data and manages the processes.

ERP = Database + operational modules
BPM = Process intelligence + automation + user interaction

When these two work together:

  • The investment in the ERP system is protected and made more efficient
  • Processes speed up and user satisfaction increases
  • Management can monitor operations more transparently
  • The organization becomes "truly digitalized"

Conclusion: Digital Transformation Starts with ERP and Is Completed with BPM

If digital transformation were possible with ERP alone, millions of employees today would no longer be tracking their work in Excel lists, email chains or WhatsApp groups.

ERP systems provide an important foundation. But for processes to be agile, user-friendly, traceable and continuously improvable, BPM applications are a must.

That is why, when reviewing their digital transformation strategies, companies should ask:

We invested in ERP, but is work still moving manually?
Do teams still struggle to track where they are in the process?
Does every new process require changes to the ERP?
