PaperWork Document Management and Content Server

Manage Your Documents in One Hub with a Document Management System

A document management system (DMS) centrally manages how documents are created, classified, stored, searched and shared according to permissions. With version control and activity history, it helps teams always work with the current document.

PaperWork Document Management and Content Server brings documents from ERP, CRM, human resources, quality and contract applications together in a shared content infrastructure. Documents can be connected to workflows and used from the screens of enterprise applications.

When evaluating a solution, consider your document types, access roles, search needs and integrations together. Articles on the PaperWork blog can help you define this scope.

Day-to-day work

Scattered documents slow down the flow of work.

In many companies, the document problem looks like an archiving problem. In reality, the main issue is that information is scattered across different systems, folders and personal workspaces. As a result, processes slow down, decisions are delayed and employees lose time searching for the right document.
Copy sprawl

Different copies emerge

The same document is stored in several places, and which one is correct becomes a debate.

Version uncertainty

The current version becomes unclear

Employees may work with an outdated document, and approval and decision processes can go wrong.

Search burden

Searching for documents wastes time

Instead of doing their jobs, users chase documents, folders, emails and attachments.

Access uncertainty

Security weakens

As document copies multiply, it becomes harder to manage access, masking and audit policies consistently.

  • Document activity cannot be tracked.
  • Information gaps appear between applications.
  • Corporate memory depends on individuals and folders.

PaperWork eliminates this chaos by managing all documents in one hub. One document source. Faster access. Stronger control.

More than a document archive

More than an archive: a shared content infrastructure.

PaperWork Content Server is the central document and content infrastructure that every application in your organization can use.

An invoice created in ERP, a customer document used in CRM, a personnel file in the human resources system, a procedure in the quality application or a contract in contract management can all be managed on the same secure infrastructure.

Even when the application using the document changes:

  • The document stays in one hub.
  • Security rules are preserved.
  • The current version is managed centrally.
  • All activity is recorded.
  • Duplication of the document across systems is prevented.

In this respect, PaperWork is not a traditional digital archive; it works as a Content Server that provides content services to all enterprise applications.

One Document, Multiple Applications

In organizations, several departments and applications need the same document. A customer contract may be used by sales, legal, finance and operations teams. A supplier document may be part of procurement, quality and finance processes.

Users benefit from PaperWork document management capabilities without leaving ERP, CRM or other applications.

The document is saved once and served securely to every application that needs it.

With PaperWork content services and API infrastructure, enterprise applications can:

  • Save documents to Content Server.
  • Search for documents from their own screens.
  • View and share documents.
  • Access current and previous versions.
  • Use central permission and security rules.
  • Monitor document activity and log records.
  • Start document-related business processes.

Personal Data Masking

With PaperWork ISDD, detect personal and sensitive data in documents using artificial intelligence and mask it according to user permissions.

Document processing

From document to usable information.

In document-intensive operations, the real cost is not storing documents. It is reading them, classifying them, extracting the right data, protecting personal data and starting the related process. Intelivus and ISDD, PaperWork’s artificial intelligence solutions, reduce this burden: they make sense of each document the moment it arrives, protect it and turn it into usable information.

Document review

Don’t just search documents. Understand them.

Central document management makes documents easy to find. PaperWork’s artificial intelligence layer goes further and puts the information inside the document in front of employees in a more useful form: it summarizes, compares versions and enables Q&A within the document.

FAQ

Frequently Asked Questions

Let’s clarify your document sources, application connections, search needs, the document types to be processed with AI and your task flows together, and plan the right starting point for your organization.
What is PaperWork Document Management?

PaperWork Document Management enables the central, secure and controlled storage, search, versioning and use in processes of your organization’s electronic and scanned documents. Documents are not just archived; they are served as content to ERP, CRM, human resources, quality, contract and other enterprise applications.

What is PaperWork Content Server?

PaperWork Content Server is the shared document and content infrastructure that all applications in your organization can use. Documents are stored in one hub, and applications securely access them from their own screens whenever they need them.

What is the difference between Content Server and a traditional digital archive?

A traditional digital archive focuses on storing documents. PaperWork Content Server connects documents to applications, users and business processes. Documents can be viewed and updated from within ERP or CRM, can start processes and can be used across different operations.

How do Intelivus, ISDD and Document Management work together?

Intelivus reads the document, determines its type and extracts the required information. ISDD detects personal and sensitive data in the document and masks it according to user permissions. PaperWork Content Server then saves the document to the right class with the right information, stores it securely and serves it to the relevant applications.

What does Intelivus do in document management?

Intelivus reads, understands and automatically classifies incoming documents with artificial intelligence. By extracting information such as dates, amounts, customers, suppliers, contract numbers or invoice numbers, it reduces the need for manual data entry and filing.

What does ISDD do in document management?

ISDD uses artificial intelligence to detect personal and sensitive data in electronic or scanned documents. This information can be displayed masked or unmasked according to user permissions, making it easier to protect personal data and apply common security policies across the organization.

Can PaperWork Document Management be used without Intelivus and ISDD?

Yes. PaperWork Document Management can be used on its own for central archiving, search, version control, permissions and content services. Intelivus and ISDD can be added as needed to automate document processing and personal data security with artificial intelligence.

Through which channels can documents be received?

Documents can be received via email, scanner, mobile device, shared folder, portal, KEP (registered electronic mail) or API. Incoming documents can be processed automatically with Intelivus and saved to the correct document class.

Can documents be archived automatically?

Yes. Intelivus determines the document type, extracts the required data and creates the document’s metadata. PaperWork automatically saves the document to the correct document class. Users no longer need to name documents, choose folders or enter information one field at a time.

Can business processes be started automatically from documents?

Yes. Based on the document type or the information extracted by Intelivus, approval, check, payment, registration, review or assessment processes can be started automatically. The related operation is set in motion the moment the document arrives.

Can ERP, CRM and other applications access PaperWork documents?

Yes. Thanks to PaperWork content services, API and integration infrastructure, ERP, CRM, human resources, quality and other enterprise applications can access documents from their own screens. Users do not need to leave the application they are working in.

Does the same document need to be stored again and again in different applications?

No. The document is stored once on PaperWork Content Server and served securely to the applications that need it. This reduces document copies, uncertainty about the current version and information inconsistencies between applications.

Which methods can be used to search for documents?

PaperWork supports metadata (index field) search, full-text search within document content and OCR-based search for scanned documents. Users can find the right document by customer, date, document type, content or index information without knowing the file name.

How do we migrate our existing documents?

The document types, volume, folder structure and document information in your existing archive are reviewed. Classification and transfer rules are defined, and a phased migration is planned with validation on a selected document group.

There are two fast options for the transfer:

  • Transfer architecture: Document metadata is written to a table and the documents are placed in a designated location on disk. The transfer architecture automatically picks up this information and the documents and archives them.
  • Bulk transfer via API: Documents can be archived in bulk through the API.
Can users comment on documents and assign tasks?

Yes. Users can leave comments on documents and follow notes and feedback together with the document history. Time-based and task-based assignments can be made to individuals, and open work can be tracked by owner, deadline and work step.

Which document types can be managed?

Invoices, contracts, forms, policies, technical documents, personnel files, quality records, quotations, customer documents, customs documents, bank instructions and internal correspondence can all be managed.
