“KPMG Turkey Streamlines Procurement Process and Improves Budget Control with PaperWorkBPM”

The Challenge

“KPMG Turkey has always been a company that values efficiency and effectiveness. When we decided to embark on a digital transformation initiative, we knew that we needed a strong technological infrastructure to support our goal of becoming a process-oriented company’” explains Ergin Guler, Information Systems Manager at KPMG Turkey.

One area that KPMG Turkey identified as needing improvement was their procurement process. Without a dedicated platform to manage and control this process, requisitions were recorded and processed in various systems, and approvals were often given via email. This made budget control difficult, as it relied on periodic reporting.

Digital Transformation Story

In 2015, KPMG Turkey began working with PaperWorkBPM to analyse their existing procurement process and design a more efficient digital version.

“We recognized the importance of looking at the process as a whole rather than simply transferring the existing process onto a digital platform”, Guler recalls. “We didn’t want to move the existing process onto a digital platform as it is.  We worked with PaperWorkBPM consultants to analyse the as-is process and design the to-be process. By identifying best practices and eliminating steps that didn’t add value, we were able to create a simpler and more manageable process on PaperWorkBPM.”

It took six months to go live with the new procurement process, which consisted of seven workflows, from requisition to receipt of goods or services. Upon receipt, PaperWorkBPM integrates with KPMG Turkey’s local ERP system for invoice and payment processing. Ad-hoc and in-budget requisitions go through different workflows and approval processes, allowing KPMG Turkey to monitor and control their procurement budget proactively.

One of the key factors that made PaperWorkBPM the right choice for KPMG Turkey was its unified process and document management architecture. The platform’s flexible, extensible, and easy process design features were also important considerations.

Instead, we can proactively manage it by checking the budget before processing procurement requests. This has greatly improved our efficiency and allowed us to make better-informed decisions.”
